Security Engineering Services (SES) is transitioning to an automated process for campus key requests.
This update uses the university’s existing workflow system and is designed to enhance security, improve efficiency, and create a better user experience for the campus community.
System Upgrades and Improved Workflows
The current key management process relies heavily on paper forms, requires in-person visits to the key-shop, and depends on manual processing by SES staff. This makes the system inefficient for customers and creates challenges for accurate record-keeping.
The new system will streamline the process. Individuals requesting permanent or temporary keys will submit an online form routed through the university’s existing workflow system. Requests will be automatically routed to the appropriate building coordinator based on room ownership, reducing the need for manual intervention by SES staff.
Building Coordinators will review requests and either approve them or route them to the appropriate academic dean or administrative officer for final authorization.
This updated process aligns more closely with existing university policies, ensures actions are accurately documented, and supports review and compliance requirements. It also improves speed, security, and convenience for users.
Timeline
The new workflow system will be made available to campus partners on March 2, 2026, allowing ample training time for units who frequently use this service.
This transition period will end on July 1, 2026, at which point SES will only accept key requests submitted through the automated system. In the meantime, you will be able to access both forms here.
